Toggle More InfoCustomer Confirmation Sessions
A complete run-through of all FGCU business processes for Human Resources, Payroll and Financials was held; gaps were identified and marked for investigation and remediation. Overall, these sessions created a great deal of excitement with the audience, as it provided an overall view of how Workday will look and function at FGCU.
End to End (E2E) Testing Underway
End-to-End testing consists of a detailed run-through of every single business process in Human Resources, Financials and Payroll from beginning to end, to ensure that the process works seamlessly, all approvals are routed correctly, notifications are delivered, etc. Project Team members worked closely with each other and our Sierra-Cedar consultants to thoroughly test (and re-test) every scenario.
Report Development
Numerous Reports, including those required for State Reporting, continue to be configured and refined in Workday.
Integrations
The Integrations Team continues to design and build the backend integrations necessary to link many of our third-party systems (such as PeopleFirst, Canvas and Bank of America) to Workday, allowing data to flow seamlessly between the systems. Each integration is then thoroughly tested by Project Team members.
Data Migration-Third Run
A third run of the data migration from Banner to Workday (test tenant) was started. Each time this process is performed, the business processes and system configuration is further fine-tuned.

An additional run of the data migration from Banner to Workday (test tenant) was completed. Another run-through is planned. Each time this is performed, the business processes and system configuration are further fine-tuned.
E2E Tenant Build Complete
The FGCU Workday Tenant (instance) construction for the End-to-End (E2E) testing was completed. End-to-End testing consists of a detailed run-through of every single business process in Human Resources, Financials and Payroll from beginning to end, to ensure that the process works seamlessly, all approvals are routed correctly, notifications are delivered, etc.
Change Ambassador Kickoff
The Workday Change Ambassador Network was initiated and the kickoff meeting was held on January 31st. Change Ambassadors are representatives from every department on campus who will see sneak previews of Workday, carry information about Workday to their departments, and provide feedback from colleagues to the Project Team. Report Development

Toggle More InfoBusiness Process Construction Begins
The Project Team began the work of building our business processes in Workday. A business process is the sequence of events and actions that make up a task; for example, requesting time off (leave) now requires
- Employee completes leave form
- Supervisor approves/signs form
- Form sent to HR
- Pink copy returned to employee
All of these steps are replicated electronically in Workday, with the ability to see at what phase the process is at any time, and receive notifications when action is required on the part of any person or department involved in the business process.
Unit Testing Completed
Testing of individual build components of Workday was completed.
Workbooks and Data Migration
Unit workbooks (data information) were finished, and the second run-through of data migration from Banner to Workday (test tenant) was completed. Two more run-throughs are planned.
Integrations Designing
The integrations Team began designing the backend integrations necessary to link many of our third-party systems (such as PeopleFirst, Canvas and Bank of America) with Workday, allowing data to flow seamlessly between the systems.
Better Use for Leave Forms
The Project Team is so excited about the reduction in paper forms Workday will bring they discovered a “better use for leave forms”- origami cranes! The holiday tree in the Workday Construction Zone was suitably decked out before winter break (photo below).

Toggle More InfoTesting Begins!
Unit testing by the project team in the Workday Foundation Tenant began this month. This process covers all work streams for Finance, Payroll, and HR, to facilitate appropriate and accurate configuration of FGCU’s Workday system.
State Reports
Exploration was initiated into two of FGCU’s state reports: Salary Category Detail and Operating Budget.
Integrations
The Integrations Team began work on creating systems integration between Workday and some of our critical systems, including AR Feed and PeopleFirst.
Data Migration Preliminaries
Project Team members began completing the necessary Workbooks in Procurement, Payroll, Benefits, and HCM/HR in preparation for data load into the “End to End” Workday Tenant.
Welcome to the Arctic Construction Zone!
Not even a malfunctioning air conditioning system in the Workday Construction Zone could stop our project team! Blankets thoughtfully provided by the HVAC company working on the problem allowed the team to forge ahead in the chilly conditions!

Toggle More InfoWorkday Construction Zone Open for Business!- On October 21, the Workday Project workspace opened for business! The “Workday Construction Zone”, is located on the ground floor of the new Community Counseling Center, and contains several small meeting rooms and workspaces in addition to a large group space. Pictures of the Construction Zone in action are featured below.
- During opening week, all Workday project areas were involved in confirming system designs and initial configurations and reviewing business processes in Workday with 11 onsite Sierra-Cedar consultants.
- Workshops for Project Team members were held regarding:
- Integrations Discovery
- Operational Reporting Discovery
- Initial load of HR data (employee data) into Workday’s Foundation Tenant
- Security Discovery
- Testing Discovery
- Financial Conversion Strategy
- FGCU Supplier data and Grants data are in the process of being Loaded into Workday’s Foundation Tenant.

Toggle More Info- The Workday Project Plan and Project Charter were finalized, reviewed by Sierra-Cedar and Workday, and approved by the Executive Sponsors
- Planning Phase Delivery Assurance Checkpoints were finalized in cooperation with Workday and Sierra-Cedar representatives
- HCM (HR) completed compiling and parsing data for construction of the Workday Foundation Tenant, the first test instance of the FGCU Workday environment. The Foundation Tenant is used to configure and build our business processes for our final Workday system.

Sierra-Cedar delivered their findings report and gap analysis from the July Business Process Alignment sessions. The Project Team began making plans to address the identified gaps as the FGCU Workday system is created.
Architect Sessions
- Workday Workshops (Architect sessions) for Financials and HR (HCM) Project Team members were held to determine components of the FGCU Workday Foundation Tenant; constructing the Foundation Tenant is the first step in building our final Workday system.
Workday Training
- Core Project Team members for Financials, Payroll and HR (HCM) participated in trainings on utilizing Workday (delivered by Workday) to gain a better understanding of the structure and capabilities of the new system; this will assist with construction of the Foundation Tenant.

Toggle More InfoBusiness Process Alignment sessions (7/11-7/26)
- Sierra-Cedar conducted Day-in-the-Life Workshops (DITL) during which FGCU personnel reviewed key business processes/policies, shared pain points, and identified what currently works well. From these sessions, Sierra-Cedar will create prioritized actionable plans including identified Workday alignment opportunities and a “wish list”. From this plan, FGCU will prioritize process and policy changes for action.

- Project Teams for FGCU and Sierra-Cedar (our implementation partner) were established. Sierra-Cedar personnel will work closely (both onsite and remotely) with the FGCU team throughout all phases of the Workday project
Workday Team Kickoff Event
- The Workday Implementation Project Team Kick Off event was held on June 28, 2019. Vice President Steve Magiera and CIO Mary Banks delivered the charge to the Project Team and Steering Committee and reviewed roles and responsibilities. As many of the team members have not previously worked together, an icebreaker activity provided some fun. Included here are some photos from the event.
